 What is Access Control?

Access Control allows you to only create users with admin privileges, having full access to the Optima dashboard. The users would fall into several categories broadly, for example, admin, programadmin, or custom user. For more details, refer to Access Control.

 What modes can be used to add funds in Zeta Optima?

In the Zeta Optima dashboard, you can add funds via NEFT or cheque.

 What functions can I access in Optima dashboard?
  1. Add funds.
  2. Schedule a date for payout of grants.
  3. Access reports and statements.
 Where can I check the companies in Optima dashboard?

From the left panel, go to  Admin Console > Companies  under Corporate Tools  menu. The company page appears. 

On this screen, view all legal companies and number of employees associated with a particular company that you've created to run the benefit programs under your organization. 

 What is the use of Beneficiary Directory?

The Beneficiary Directory provides you an overall view of all active employees associated with various benefit programs. This dashboard shows employees' statuses based on parameters such as KYC and super card. These statuses help you to track employees who fail to comply with regulations and haven't received the Zeta super card. 

 Can I add users and provide them access privileges?

 An organization may create its own roles and associated permissions based on its own needs.

 How to initiate a reimbursement/allowance program?

Optima reimbursement/allowance credits will be sent to your employees automatically on the scheduled date in one go every month through our user-friendly digital dashboard. Ensure that you set up the required program and have sufficient funds in your account:

If you've configured multiple legal companies under your organisation, make sure  that you choose the company of your choice. Lets consider that you want to initiate a fund transfer for Fuel & Travel program, refer to Initiating transfer for Fuel & Travel Card for detailed process.

 How do I get details of an active program?
  1. Log into the Zeta Optima platform.
  2. From the left panel go to Zeta Optima > Active Programs.

You get all the details such as Overview, Transfer order, Transfer report, Beneficiaries and Claims and more.

 How do check for individual employee details?
  1. Log into the Zeta Optima platform.
  2. From the left panel, go to Zeta Optima > Beneficiary Directory.
  3. Select an individual entry to view employee's details and the programs assigned to the employee.
  4. Click on the specific program to download the statement.

The downloaded statement provides the itemized snapshot of an employee transfer report that includes summary, disbursed or recovered amount and approved bills.

 How to add another user in Optima?
  1. Log into the Zeta Optima platform.
  2. From the left panel, go to Admin Console > Access Control under Corporate Tools. This opens up the user entitlement page.
  3. On this page, click Add User option. The "Add a new user" screen appears.
  4. Specify Full Name and valid Email Address of the user.
  5. Finally, click Add User to create a new user.
 How can I suspend an active user?

As an administrator, you can suspend the active users temporarily in the Optima platform. Perform the following to modify users:

  1. Log into the Zeta Optima platform.
  2. From the left panel, go to Admin Console > Access Control under Corporate Tools. This opens up the user entitlement page.
  3. On this page, locate and click more action () option against an active user and then click Suspend this User to suspend an active user.
  4. Click YesSuspend This User to confirm the suspension. 
 How can I restore a suspended user?

You can restore suspended users who are not removed permanently in the Optima platform. Perform the following to restore users:

  1. Log into the Zeta Optima platform.
  2. From the left panel, go to Admin Console > Access Control under Corporate Tools. This opens up the user entitlement page.
  3. On this page, locate and click more action () option against an suspended user and then click Restore this User to restore a suspended user.
  4. Click YesRestore Access to confirm the restoration. 

Bulk Actions

 What is Bulk Actions and how to create it?

Bulk Actions enables you to perform various redundant tasks such as uploading new transfer order files and closing cards. You can reduce time and increase the efficiency of your work by uploading a single order file across multiple entities and close all the active cards of a beneficiary in one go.

To initiate a Bulk tansfer, refer to Create Bulk Order.

 What are Company code and Program code used for?
  • Company code: Admin will set and edit the short codes for all the companies that belong to a corporate. For example, BWTPL006.
  • Program code: Used to group and identify multiple programs across different companies. For example, MEAL1. To set them, please get in touch with your account manager.

Ensure that Company codes and Program codes are set, as they  are used to group and identify multiple programs across different companies. 

 How to view the Transfer Order details?
  1. Log into the Zeta Optima platform.
  2. From the left panel, go to Zeta Optima > Bulk Actions > Bulk Transfer Order > View all orders.

You can view the Order File details and track the status of the order. To know description of each order statuses, refer to Order States. You can also create a new order in this page by clicking NEW USER.

 Can I close the cards of a beneficiary?

Yes. Bulk Close Cards action enables you to close all the active cards of the beneficiaries mentioned in one go. Once the cards are closed, an employee will neither receive any credits nor will any debits be allowed against that card. Cards once closed cannot be opened. The employee must opt in again and a new card will be issued by the corporate. To know the process of successfully close cards in a bulk, refer to New Request and to view request, refer to View Request.

Report Center

 What is Report Center?

Optima dashboard provides purpose-built reporting services. You can generate various financial reports to track and audit the tax benefit programs for your employees. This also aids in the financial accounting process of your organization. For example, a consolidated fund movement statement may assist you to track the fund transaction activities of a particular corporate funding account over a specified period of time.

 How is financial report useful?

Financial Report helps you to audit overall tax benefit programs of your employees and assist you to track various kind of fund transaction activities of a particular corporate funding account over a specified time frame. Types of reporting available under this category are:

  1. Fund addition request report.
  2. Fund movement report.
  3. Transfer details report.
 What details do the Reimbursement and Spends Report encompass?

Reimbursement and Spends Report provides you a detailed view of various transaction activities such as employee's personal details, amount claimed / approved / rejected / pending. Types of reports available under this category are:

  1. Reimbursement master report.
  2. Beneficiary spend summary report.
 What details does the Year End Reconciliation Report contain?

Year End Reconciliation Report assists you to keep track of the fund transaction activities of all users over a specified period of time. You can download the report of users who have registered / unregistered on the Zeta system.

  1. Download report for registered user.
  2. Download report for unregistered user.
