The Zeta Fuel & Travel card is a paperless and digital solution that your organization grants for fuel and travel expenses every month based on the company’s policy and as per IT guidelines. The amount loaded into the fuel card is non-taxable and can only be redeemed using the Zeta super card against actual expenses incurred by you for the fuel and conveyance cost.

The fuel program is a breakthrough solution that automates the time-consuming and manual fuel reimbursement process - no manual bill entry, submission and verification to process the claims since Zeta handles this for you. Zeta fuel reimbursement program allows employees to pay, upload and analyze the fuel bills using the Zeta app interface and Zeta web console.

Install the Zeta app on your smartphone from the app store. To download and configure Zeta app, see Setting up an Employee Account.

Useful Facts

  • The Zeta fuel & travel card can not be redeemed online.

  • You can use your Zeta super card to pay fuel and travel expenses.

  • Zeta cards are accepted at all fuel merchant outlets and also offer full surcharge waiver on fuel purchases.

  • Fuel cards don’t expire unless otherwise specified by your organization.

  • Per IT rule, the following reference amounts are considered as non-taxable fuel reimbursement limit:

    • Below 1.6 liters (1600CC) - Rs. 1800/- per month

    • Above 1.6 liters (1600CC) - Rs. 2400/- per month

    • Chauffeur, if any - Rs. 900/- per month

  • Per IT rule, you are eligible to claim non-taxable conveyance allowance of Rs. 1600 per month (Rs. 3200 for physically challenged employees). However, you loose tax exemption on conveyance allowance if you claim tax benefit on reimbursements of fuel and travel expenses.

  • Per IT rule, you can also avail taxable allowances as detailed below. Contact your HR for more details on the various allowances.

    • Expenses against car hire and car servicing / maintenance or insurance

    • Expenses to meet cost of travel and daily charges on business tour or transfer incurred by the employee.

  • Any unclaimed amount in the fuel & travel card in a fiscal year would be treated as a taxable component. In this case, you receive the amount after the tax deduction.

  • You may safeguard your fuel bills for future auditing purpose as per company guidelines.

Before You Begin

Ensure the following:

  • You’ve received a Zeta fuel & travel card from your HR. Note that your email ID must be verified to receive the fuel credits if vouchers are issued on your email ID.

  • You’ve appropriate balance in your fuel or super cards to initiate payment through Zeta super card and to avoid transaction declined error.

How Fuel Card Flow Works?

The Zeta fuel card provides a simple and hassle-free workflow to process your fuel expenses. All you need to do is:

  • Receive a Zeta fuel & travel card from your HR. The card appears in the Cards tab in your Zeta app.

  • Use the super card to recharge fuel at any fuel merchant or pay for your business travel needs.

  • Upload the valid and legible fuel and travel bill for approval using the Zeta app. Note that this facility is functional only when your company grants reimbursement against fuel and travel related expenses by uploading the bills.

Using the Zeta Platform

The Zeta fuel & travel card is a one-stop solution to all your complicated and past fuel or travel reimbursement challenges and provides a unique and simple means to spend your fuel reimbursement amount. The important thing to remember is this is a prepaid card, thus eliminate the need of manually itemize the bill in the HR portal. However, you may safeguard the fuel bills for future auditing needs.
